1. Who we are

Ansa is a business phone service from Ansa Communications (Private) Limited ("Ansa", "we", "us"). The Ansa Voice app is published in the App Store and on Google Play under the developer account of VETECH (PRIVATE) LIMITED.

Ansa is sold to businesses. If you use Ansa at work, your employer decides what Ansa is used for and who in the business can see what. We hold and process information on the business's behalf, and on our own behalf where we need it to run the service.

2. What this covers

The Ansa Voice app, the Ansa dashboard at app.ansa.co.zw, this website, and the service behind them. It doesn't cover your phone company: Ansa connects to a phone line your business contracts for in its own name, and what that company records about your calls is governed by its terms, not ours.

3. What we collect, and why

About the people who use Ansa

  • Name, email address and mobile number, to create your account, invite you and reach you about the service.
  • Your role in the business and whether your account is active, so the right people can change settings and the rest can't.
  • When you last used Ansa, so an administrator can see which accounts are still in use.
  • Sign-in codes and sign-in attempts. There are no passwords: you sign in with a six-digit code we email you. We keep a scrambled copy of each code for a day and a record of sign-in attempts for 90 days, to stop people guessing.
  • A record that you were shown the emergency-calling warning, when, and the internet address you were at, because we may need to show that you were told (see section 8).
  • A record of administrative changes: who changed what, when, from where, and the before-and-after values.

About the phones and computers you use Ansa on

  • A name for the device (usually the name you gave your phone), its type, its make and model, and the app version.
  • An identifier created when Ansa is installed, so calls reach the right install.
  • A push code issued by Apple or Google, so we can wake the app when a call comes in.
  • When the device was last seen, so the business can see which phones are ready to take calls.

About calls

Ansa does not record the audio of your calls. We record details about them:

  • For every call: whether it came in, went out or stayed inside the business; the number at the other end; which line in the business it reached; when it started, was answered and ended; and how long it lasted. This is the call history the business sees.
  • Which device answered, and whose it was, so a business can see who took a call.
  • For each phone we tried to ring: the phone model, what happened at each step and when, so we can find out why a phone didn't ring.

Voicemail and greetings

When a caller leaves a message we keep the recording, the number they called from, its length and whether it's been listened to. A voicemail is a recording of somebody's voice, often a member of the public, so it's kept in private storage, played only through links that stop working after five minutes, and sent by email only if the business turns that on. Once it's in somebody's mailbox we can no longer delete it. If a business records or generates a greeting for callers, we keep that audio too.

Contacts

If a business adds or imports contacts, we keep each contact's name, company, phone numbers, email address and notes. Everyone in that business can see them. These are usually details about the business's customers and suppliers, and the business decides what belongs there.

Billing

For the business that pays: its plan, invoices, payments and the minutes it has used. Outside calls use minutes, so call length is also used to work out the minutes a business has left. Payments are taken by Pesepay on its own pages; we never see or hold card or mobile-money details.

Technical records

We keep server logs to find faults: which requests were made, when, from which internet address and whether they worked. Calling passwords are never written to a log, shown on any screen or included in any export.

The waitlist

If you join the waitlist we keep your email address, the business name if you give one, the page you joined from and the country your connection came from. We use them only to tell you when Ansa opens, and delete them if you ask.

4. How long we keep it

  • Voicemail: 90 days by default; the business can set anything from 1 day to 10 years. Then the recording and its entry are deleted.
  • Sign-in codes: a day. Sign-in attempts: 90 days.
  • Call history, account details, contacts, greetings and settings: for as long as the business's account exists.
  • The emergency-calling acknowledgement: for as long as the business's account exists.
  • The record of administrative changes: at least 12 months.
  • Invoices and payment records: as long as tax and accounting law requires.
  • Server logs: a short operational period.

5. Who else sees it

We don't sell your information and we don't use it for advertising. We share it only where the service can't work otherwise:

  • Apple and Google receive your phone's push code and, when a call comes in, the caller's number and name if we know it, so a phone that's asleep or closed can ring.
  • Resend sends our emails (sign-in codes, invitations, alerts, invoices, and voicemail if the business turns that on), so it sees the addresses and contents.
  • DigitalOcean runs the servers and database, so everything the service holds is on its machines.
  • Cloudflare stores voicemail and greeting audio, runs this website and the dashboard, and turns typed greeting text into speech.
  • Pesepay takes payments.
  • Your phone company carries outside calls over its network, so it sees the numbers and the calls.

We'll also share information if the law requires it or to protect somebody's safety. If we're ordered to hand over a business's information, we'll tell that business unless we're forbidden to.

6. Where it is kept

Our servers and database are in London, United Kingdom. Voicemail and greeting audio are stored with Cloudflare inWestern Europe. Your information is therefore kept outside Zimbabwe.

7. Who at Ansa can see your information

Our staff use an operations console that shows each business's account, plan, billing and phone-line status, and the owner's contact details. It has no screen that shows a business's calls, contacts or voicemail. The database also keeps each business's information separate, so a request carrying one business's identity can't read another's.

The few people who run the servers can reach the database directly, outside the product. That's how the service is repaired, backed up and restored, and we use it for that, not to browse. If we need to look at your data to solve a problem you've reported, we'll ask you first.

8. Emergency calls

Ansa can't be used to call emergency services. If you dial an emergency number in Ansa, the app opens your phone's own dialler with the number entered, so you're one tap from calling over the mobile network. We keep a record that you were shown this warning. SeeEmergency calls.

9. Your choices

  • See what we hold about you: ask us.
  • Correct it: most of it you can change in the app or the dashboard; for anything else, ask us.
  • Delete it: see Delete your Ansa account. Some records we have to keep, and that page says which and why.
  • Complain: to us first, at [email protected].

If you use Ansa through your employer, ask them first, because many of these are their decisions.

Ansa is a service for businesses and isn't meant for children.

10. Keeping it safe

  • Everything travels encrypted between your phone, the dashboard and us, and calls between phones are encrypted too.
  • There are no passwords to steal; sign-in codes are stored scrambled, last 10 minutes and work once.
  • The passwords that let a phone connect to the calling service are stored encrypted and never shown or logged.
  • The database keeps each business's information separate and enforces that itself, and we test it automatically.
  • We take daily backups, kept under the same restrictions as the live service.

No system is perfectly safe. If something happens that affects your information, we'll tell you.

11. Changes to this notice

When we change this notice we'll update the version and date above, and tell the businesses that use Ansa about any change that affects what we collect or who we share it with.
